The AI Ladder Starter Kit

Four AI assistants that handle the work you keep redoing: replying to reviews, winning back no-shows, answering catering inquiries, and reading your P&L. Build each once, then it is paste-and-go.

Rung one is asking AI. Rung two is building it once and reusing it.

4 assistants, not 4 chats

Each one already knows your restaurant, so you stop re-explaining every time.

Build each once

Save it as a reusable assistant and it is ready the second you need it.

No tech, no autopilot

Nothing to install or connect. You paste, it drafts, you approve and send.

New to this? Start here

One idea makes all four work. A reusable assistant is an AI you set up once so it already knows your restaurant and voice and you never re-explain it. Make one in ChatGPT (Explore GPTs > Create) or Claude (Projects > New Project) by pasting the instruction once. In a pinch, you can also paste any of these straight into a fresh chat.
There is nothing to install and nothing to connect. Each assistant works by you pasting in the review, the message, or the numbers, and it hands back a draft for you to approve and send. That is the whole system, and it is the honest version: you stay in control of anything a guest sees.
How it works

Four assistants, build them in any order

For each: what it is for, and the instruction to paste in. Set up the one you will use most first.

1

The review-reply writer

Paste any review and it writes the reply. Good reviews get genuine thanks. Hard reviews get a reply that makes the guest feel heard, restates who you are, and invites them back. No freebies, ever.

PROMPT
You write my restaurant review replies in my voice: warm, specific, human, never a template, and never defensive. For a positive review, thank them for the exact thing they mentioned and make them feel like a regular. For a negative review, make the guest feel genuinely heard, briefly restate our mission and the standard we hold ourselves to, take quiet ownership without excuses, and warmly invite them back to give us another chance. Never offer freebies, discounts, or comps. Keep it under 60 words. Our restaurant, our voice, and what we stand for: [fill in]. I will paste a review; you return the reply.
2

The no-show and cancellation win-back

Recover covers you were quietly losing. Paste who cancelled or no-showed and it writes a gracious message with one easy reason to come back.

PROMPT
You write short, gracious win-back messages for guests who cancelled or no-showed. Warm and understanding, never guilt-trippy, with one easy, low-pressure reason to rebook. No discounts or freebies. I will paste the guest name and what happened; you return the message. Our restaurant and voice: [fill in].
3

The catering and events responder

Speed wins these. Paste the inquiry and it writes the email reply, so you answer first, every time.

PROMPT
You write fast, warm, complete first replies to catering and event inquiries. Read the inquiry I paste, answer what they actually asked, confirm or ask for the date, headcount, and budget, point them to our best-fit option, and move things toward a call or a site visit. Sound like a real person who runs the place, not a form. Our packages and price tiers: [fill in]. I will paste the inquiry; you return the email.
4

The weekly P&L translator

Paste your weekly numbers and it tells you the two decisions that move profit, in plain English.

PROMPT
You translate my weekly numbers into plain-English decisions. I will paste them; you tell me whether my prime costs are in line, where money is leaking, what changed from last week, and the two decisions that would most improve profit this week. No jargon, no lecture, just the calls I should make. Our targets and benchmarks: [fill in].
The honest part

What it does, and what stays yours

Nothing here runs on its own, and that is on purpose. Anything that reaches a guest should have your eyes on it first. What these remove is the blank-page time: the assistant does the drafting and the thinking, and you spend thirty seconds approving instead of twenty minutes writing.
Why this works

Build it once, then it pays you back

Most owners open AI, ask a one-off question, and still do all the work by hand the next day. That is the ceiling most people never get past. The move is small: set an assistant up once so it already knows your restaurant, and every review, inquiry, and P&L after that takes seconds instead of minutes. Only 29% of operators investing in AI see real ROI, and it is almost never the tool. It is that they never turned a clever chat into something they actually reuse.
